Jr. Logistics Officer

 

Job Summary 

 

Jr. Logistics Officer is responsible for ensuring proper monitoring and maintaining the quality and quantity of products, through the life cycle of the product being received into JOTC tanks up until it is dispatched out of JOTC tanks.

This will be achieved through controls set in the Logistics processes and procedures that will provide the operations department with the information required to execute agreed operational plans to meet the Logistics plan and Customer expectation.

 

JOB DESCRIPTION

ROLE AND RESPONSIBILITIES

Jr. Logistics Officer is responsible for conducting the following tasks:

  • Adequate stocks are maintained to meet customer orders by monitoring and providing daily reports.
  • Produce weekly, monthly, quarterly and annual reports on agreed content in agreed formats.
  • Monitor and report when required adequate ullage/capacity available to accommodate quantity of incoming product.
  • Assist in reviewing and analyze company’s contractual commitments towards Clients. Ensure that service provided is in line of these commitments.  
  • Help in obtaining and analyzing the Clients’ service requests and confirm that targets are within company’s capability and commitments. Suggest alternative approaches to achieve Clients and company target. 
  • Collaborate with other departments to integrate logistics plans within other department’s needs and limitations. Coordinate between Maintenance Department and Clients regarding operational hindering maintenance activities.
  • Assist in providing the monthly activities reports and statistical data to Finance Department for Clients billing basis, Port billings, and Organization data needed for reporting. 
  • Analyze delays and deficiencies that may occur in the operation and work within the group to resolve those issues.  
  • Plan and monitor shipping programs in line with company commitments and clients’ service requests.
  • Communicate with shipping agents regarding shipping schedules, delivery orders and vessels capabilities concerning specific voyages in order to achieve better planning.
  • Manage third party inspectors’ claims and inquiries.
  • Review and audit all shipping and transfer files and documents and ensure zero margins of errors. Ensure all documents are in order.
  • Ensure Shipping Files document control.
  • Ensure that Cargos (Product) custom declarations process complies with local regulations. 
  • Ensure that third parties’ cargo (Product) deliveries are declared by third parties within the local rules.
  • Responsible for translating and implementing the applicable or relevant requirements of IMS system in their areas of responsibilities in addition to their own safety
  • Maintain and control inventory levels in addition to managing the gains and losses
  • Effectively communicate with all departments and plan movement of product to meet customer requests.
  • Liaise with transporters to ensure vehicles arrive on schedule to meet the customers expectation.
  • Managing the process for stock verification before, during and after vessel discharge
  • Through established stock control procedures monitor, record and report daily, weekly, monthly, quarterly and annually the stock levels and movements.
  • Initiate an investigation for any stock variance between the book stock and the physical stock, by working closely with the Operations Department to establish the facts and to report on the findings.
  • Provide the team with timely information/reports on any quality or quantity related issues that are identified though the established daily process of stock management and third-party inspection and certification protocols.
  • Log all Customer complaints and initiate the request from the relevant parties (Operations, HSE & Maintenance) to provide the required information via The Customer Complaints System. Update and coordinate with the commercial department on all aspects. 
  • Assess Customer requests for movement of stock and format a logistics plan to meet the customers expectation
  • Plan and manage product movement, tank stock levels, transportation, and reporting requirements.
  • Direct, optimize and coordinate full customer order cycle
  • Liaise with Customers, Surveyors, Transporters and other service providers in the supply chain.
  • Agree and monitor quality, quantity and ensuring all stock variances are within the commercially agreed tolerance.  The management of stock is a crucial element and must be managed daily. The Terminal Manager must be informed immediately of any stock variations outside the agreed tolerance, with a timeline to revert after investigating and the reason/cause for the deviation has been established.   • Mediate quality issues on off specification product and resolve problems arising from the placement of receipt and dispatch orders
  • Arrange meetings to plan shipments or truck movements, with required parties is this must be mentioned
  • Investigate and resolve any arising problems or complaints received, ensuring the corrective action is communicated through the all affected departments in the organization.
  • Manage/Supervise, coach and train Logistic workforce.
  • Generate work instructions to facilitate execution of customer orders (not his job)
  • Ensure that all work carried out for the customer is covered in the commercial agreement.
  • Conduct regular assessment of the operation staff performance and make recommendations regarding the individuals growth potential, training requirements, etc.
  • Meet cost, productivity, accuracy and timeliness targets
  • Identify and address current cycle risks, establish contingency plans, and respond effectively to any contingency cases.
  • Determining the optimal transportation plan to ensure the highest customer service levels and the lowest operational costs, using routing tools and/or software effectively
  • Optimal design and utilization of available space for materials and finished goods, at all operational sites or at the customer site, to ensure best utilization and availability with optimal cost.
  • Knowledge and utilization of the appropriate materials handling tools, techniques, and technologies. Ensuring best utilization of handling equipment and technologies, preventing damages to materials and products.
  • Follow up on all matters related to his job to achieve the best performance.
  • Any other reasonable duties as may be assigned.

 

QUALIFICATIONS

  • Bachelor’s degree in engineering (Mechanical, Chemical or Electrical) advanced certificate is a plus.
  • Excellent computer skills– MSOffice, Office 365, experience with or understands the functionality of HR related systems.
