Receptionist & Admin Assistant

JOB SUMMARY

The Receptionist & Admin Assistant is responsible for handling administration duties and provide the needed support for direct supervisor, directors, and other employees, welcoming JOTC guests, in addition to monitoring stationery inventory and handling internal & external mail.

JOB DESCRIPTION / Main Tasks & Duties

ROLE AND RESPONSIBILITIES

The Receptionist & Admin Assistant is responsible for conducting the following tasks:

  • Answer direct phone calls in a polite and friendly manner.
  • Welcome visitors in a warm and friendly manner and answer any questions visitors may have.
  • Maintain the reception area and all common areas in a clean and tidy manner at all times.
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer.
  • Keep detailed and accurate records of visitor requests and of calls received.
  • Receive deliveries; sort and distribute incoming mail.
  • Maintain the general office filing & archiving system.
  • Any other reasonable duties may be assigned.
  • Follow up on all matters relating to work to achieve the best performance possible.

Qualifications

  • Diploma in Business Administration or a related field.
  • Minimum 0-3 years of experience in administration field.
  • Understanding of general administration related duties i.e. Filing, archiving, purchasing, inventory …etc.
  • Excellent computer skills– MSOffice, Office 365, understands the functionality of an ERP system
